Position Summary
The Troop/Volunteer Support Specialist serves as the primary point of contact for troops and volunteers in assigned geographic areas with a focus on professional, superior customer service. Serves as the main point of contact for service unit volunteers and acts as a broker to distribute information to council staff and by guiding volunteers to additional support services and resources. Responsible for the retention of girl and adult volunteer members.
Essential Functions
- Supervises volunteers to deliver Girl Scout programs to adults and girls within assigned jurisdiction.
- Works with the membership team assists in setting membership goals and cultivating volunteers to meet those goals.
- Works within the assigned area to assure the delivery of support service to the Service Unit Management Team and all volunteers, including attending monthly in-person Service Unit Volunteer meetings.
- Provides focused support to new troops and volunteers to increase retention of first year troop leaders.
- Leads new volunteers through the onboarding process including interviews, coaching, parent meetings, first troop meetings, and continued education.
- Coaches troop leaders to recognize the benefits of girls moving from one Girl Scout grade level to the next to increase retention.
- Works to recruit additional leaders and girls into troops to meet minimum leader requirements and suggested troop sizes.
- Provides active support for the council plan of action by serving as staff support for fund raising and Product Program in designated area(s).
- Interprets and promotes Girl Scouting in the community to enhance the role and image of Girl Scouting, foster interest in troop leadership, increase visibility, and help attract new girl and adult members.
- Creates, maintains, and tracks service unit leader lists and/or additional reports for their service units and their new leaders.
- Functions as a positive and cooperative member of the Membership Team and Heart of Michigan staff, sharing resources and expertise.
- Supports and promotes girl/troop attendance at overnight and day camps.
- Participates and assists the Membership Team with the development and implementation of council action plans, budgets, and support the ongoing management systems of the council.
- Flexible schedule, including working many evening hours and weekends.
- Public speaking at meetings with volunteers.
- Participates in activities within the community to further the understanding and advancement of Girl Scouting.
- Strong human relations, problem solving, and conflict management skills required both in-person and on the telephone when speaking with volunteers, staff, and organizations throughout the community served. Develops understanding and competency in girl development around one grade level (K-1; 2-3; 4-5; 6-7; 8-9; 10-12) curriculum and age-appropriate activities for that specific level.
- Serves as council expert, assist in hosting/developing staff and leader training, partners with grade level talented volunteers to promote and spread best practices, and give specific assistance directly to leaders, program, adult education, and others as required.
- Working as a team, take responsibility for Starter Troop, Outreach, and Juliette activities in order to grow membership within the Service Unit.
- Willing to become a member of Girl Scouts of USA during each year of employment.
- Able to lift and/or manipulate up to 25 pounds.
- Other duties as assigned.

- Provides product program team with essential service unit information to support product program.
- Ensures timely, thorough, and accurate recording of job-appropriate data in database.
- Uses data effectively to improve their own and Girl Scouts Heart of Michigan’s ability to achieve results and measure outcomes. Includes ensuring familiarity with the data available; knowledge of the goals of the department; understanding the needs of the clients/audiences; and willingness to explore creative approaches to using data.
- Navigates database software to find records, sort, review, edit, print, and other appropriate functions.
- Willingness to work a flexible schedule including evenings and weekends.
- Prepares organized and structured presentations; has demonstrated ability to work with a wide range of sensitive and confidential issues and communicate effectively with a diverse group of girls, volunteers, and staff.
- Technical computer skills in Microsoft Office including Word, Excel, Outlook, and Customer Relationship Management systems.
Education and Experience
- Bachelor’s degree or equivalent experience in a related field
- Minimum of three years’ experience with non-profits and/or youth service organization preferred
- Experience with volunteer organizations with a knowledge of Girl Scouting preferred
- Leadership experience
Work Schedule
- Full-time position and will work at least 40 hours each week
- More hours may be required during peak seasons
- Position requires candidates to work many evenings and weekends
