Job description
OVERVIEW
The basic function of the Bookkeeper / Administrative Assistant is to assist anyone in the office ensuring a smooth and organized office environment. Including functions as an office clerk (scanning any documents requested, opening mail, filing, ordering office supplies, cleaning and tidying up etc.). and basic accounting functions including Accounts Receivable, Accounts Payable. This position also functions as the receptionist and there is some customer service such as answering phones and greeting clients and visitors.
RESPONSIBILITIES
- Answering phones and greeting customers with a smile
- Organize office with flow
- Taking messages
- Organizing our Dash – including safety certs, driver compliance, etc.
- Open, route, and scan mail – stamping all incoming mail
- Accounts Payable – Payable posting to correct job number and account number
- Accounts Payable – Material tickets, coding to Job number, utilize spreadsheet from the dash
- Accounts Payable – Organize open AP in booklet
- File all paid AP invoicing in designated filing cabinet
- Accounts Receivable – Invoicing trucking and small excavating jobs, toll road
- Account Receivable – Invoicing snowplowing
- Accounts Receivable – Remote deposits, square deposits, spreadsheets, apply in CE,
- Account Receivable – collections and AR statements monthly, calling bi-monthly
- Collect payroll material tickets from shop daily, sorting thru daily so that the project manager can review them
- Payroll (eventually being trained in this roll)
- Refill tickets in shop as needed
- Order office supplies, stock supplies, stock fridge with beverages
- Vacuum as needed, take out trash, clean windows, keep office tidy
- Make AIA folders, equipment folders, any other folders requested by management
- Stock vending machine
- Request COI’s from insurance agency and distribute to designated recipient
- Organize public drives, organize filing cabinets
- Update files AR invoice email list, phone list, daily job assignment list, rental rate sheets, material increase letters
- All document control
- Scan job files when completed in the public drive
- Assist with the provision of information to external auditorsfor the annual audit.
PERSONAL ATTRIBUTES
- Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff
- Detailed oriented
- High level of integrity and dependability with a strong sense of urgency and results-orientation.
- PC proficiency is essential (Windows environment) and strong working knowledge of ComputerEase and Excel is preferred.
- Must have a postive attitude
Job Type: Full-time
Pay: $17.00 - $23.00 per hour
