The Zoom team is looking for a Workplace Coordinator to help support the day-to-day operations for our Amsterdam office with a strong focus on process creation, creativity, and delivering happiness to all employees, customers and visitors!
This position is made for an energetic go-getter who doesn’t mind wearing multiple hats while taking on new challenges, taking on their own projects without supervision, and who will thrive in our fast-paced environment.

Responsibilities:
  • Welcome employees, customers and visitors to the Zoom office at our reception desk, ensuring proper sign-in protocols are followed.
  • Ensure parking spaces, workspaces and lunches are properly booked and provide metrics where needed.
  • Responsible for the timely and proper handling of employee mail and packages and shipping and receiving when required.
  • Responsible for programming access badges for all employees.
  • Maintain and order office supplies, ensuring the office and reception area is well-stocked.
  • Collaborate on planning and hosting of internal events and client visits (virtual and in-person), focused on delivering exceptional employee experiences in the workplace and virtually.
  • Continuously evaluate and identify innovative ways to streamline and enhance service delivery to maximize customer and employee experience.
  • Partner closely with property management, submitting work orders and escalating urgent onsite issues.
  • Oversee daily janitorial staff ensuring office cleanliness is a top priority.
  • Conduct multiple spacewalks daily for preventative maintenance, ensuring space is clean and clear of debris.
  • Build continuous relationships with vendors including janitorial, electrical, HVAC, paint, carpet maintenance, plants, design etc.
  • Help with set up and onboarding of new hires.
  • Partner closely with onsite stakeholders (IT, Brand, Marketing, PX, Sales), supporting office needs, communications and program initiatives.
  • Manage and respond to Zooms internal ticketing systems within set SLA’s.
  • Oversee the Zoom snack and lunch Program, partnering with onsite catering vendors to ensure our employees are well fueled while managing a per person, per day budget.
  • Help oversee day to day workplace operations to ensure office is running smoothly and efficiently.
Desired Skills and Experience:
  • Minimum 2-3 years of experience working in a workplace, office management or facilities coordinator role, delivering top notch customer service and helping create an A class employee experience.
  • Vendor management, furniture and preventative maintenance experience preferred.
  • Organized self starter, ability to work independently, driving projects and tasks to completion with little direction.
  • Experience with internal facility ticket systems and meeting SLA’s.
  • Responsive and ability to adapt to an ever changing atmosphere.
  • A natural host with the ability to provide excellent customer/employee service, host events, and build relationships with various stakeholders
  • Energetic, outgoing and always willing to dive in where needed.
  • Fluency in Dutch preferred.
