Transportation Fleet and Safety Manager
Hoosier Freight and Warehousing was established in 2013 in Indianapolis as an asset based third party logistics company. With warehouse operations in Nevada and Indiana we are positioned to serve customers nationwide. Our asset-based transportation division is based out of our corporate headquarters in Indianapolis, IN and serves a 250-mile radius.
The Transportation Fleet and Safety Manager is responsible for working with drivers and dispatchers to ensure they follow all local and federal state laws and regulations along with company policies. Coordinates the preparation and completion of regulatory and compliance documents. Working alongside Human Resources, responsible for all marketing and recruiting drivers, driver training and skill assessment to include on-boarding orientation and safety training, remedial training, and maintaining compliance with DOT, FMCSA, and OSHA regulations. The position assists in ensuring we maintain our reputable safety scores. The position will also be responsible for maintaining compliant files and records and efficient use of Hours of Service.
This role has two components: Safety Compliance and Fleet Management. We are looking for a leader who can manage our fleet of 20 tractors and 100 trailers with multiple vendors as well as file and maintain our safety records. The fleet and safety manager role also requires the ability to solve problems, multitask, and collaborate with drivers, dispatchers, operations leaders, support staff and other key stakeholders. This role reports to the Director of Transportation and comes with a company vehicle and fuel card.
RESPONSIBILITIES:
- Fleet management of owned and leased tractors and trailers from multiple vendors.
- Managing records of our fleet of company vehicles as well as monitor systems for unsafe driving practices
- Developing and management of an overall Fleet Management strategy (safety policy, vehicle usage and specs, maintenance policies and procedures, accident reporting procedures, etc.)
- Investigate accidents involving company vehicles; Initiate documentation process for accidents and file and track insurance claims, provide follow through and conflict resolution.
- Vendor selection and relationship management
- Monitoring of fuel and maintenance costs
- Writes plans and implements safety policies and procedures in compliance with local, state and federal rules and regulations.
- Plans and implements programs to train managers, supervisors and employees in work safety, practices, incident prevention, correct handling techniques for chemicals, toxins, equipment, and other materials.
- Responsible for safety awareness programs throughout the organization and driving a positive safety culture.
- Development and implementation of weekly / monthly safety communication to operations and the whole organization.
- Conducts quarterly safety inspections at all locations to detect potential accidents, health hazards and compliance with Federal and State Regulations. Assisting in accomplishing corrective actions has been accomplished.
- Participates and/or conducts quarterly and monthly safety meetings for departments.
- Monitor and assist in enforcement of DOT and FMCSA regulations to ensure compliance.
- Responsible for conducting all tasks associate with:
- Driver Qualifications – Medical Cards/Physicals, CDL, Annual Driving Records
- Driver Training – DOT regulations, Hazmat training (all areas required for our industry)
- Driver Records – Processing employment applications, DOT required documents, company policies, CSA, MVR, criminal background, PEV
- Conduct daily audits of drivers to ensure compliance and productivity through a fleet management and tracking software system.
- Issue and maintain fleet cards for company drivers and company owned power units.
- Register titles and tags for company owned and leased equipment (County Fleet and IRP).
- Reviews reporting of all vehicles, passenger, and employee accidents/incidents for determination of cause and preventability and identifying potential trends.
- Process and manage all driver accident claims with our insurance carrier
- Maintain roadside inspections and citations including overweight, traffic violations, etc.
- Review Driver Vehicle Inspection Reports (DVIR) daily and communicate with driver management to correct and validate the resolution.
KNOWLEDGE/SKILLS/ABILITES:
- Ability to communicate effectively in verbal and written form with a strong customer service orientation.
- Solid typing and computer skills.
- Ability to adapt to change in a fast-growing production environment.
- Ability to work well under stress while meeting deadlines.
- Ability to define problems collects data, establish facts and draw valid conclusions
EDUCATION / EXPERIENCE:
- 5 years of related experience and/or training, or combination of education and experience.
- Prefer 3-5 years experience in the record management and administration of compliance with DOT regulations. Knowledge of Microsoft Windows system (creating, naming, moving files/folders), and software.
- Very knowledgeable of CMV DOT/FMCSA regulations relating to HOS requirements: DVIR’s, IFTA/IRP, and CDL requirements
- Ability to work independently to meet deadlines and as part of team to communicate to employees and departments.

Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
