POSITION SUMMARY

The Winsor School seeks a Database Administrator to join the Advancement Department. This position reports directly to the Director of Advancement and is the team lead responsible for gift processing; donor acknowledgements and other correspondence; generating reports; ensuring integrity of all fundraising data; and helping all members of the Advancement Department use database resources optimally. The Database Administrator is an integral member of the Winsor Advancement team.

Gift Processing

  • Ensure a positive donor experience through efficient and accurate gift processing and acknowledgement.
  • Develop and maintain consistent processes for gift entry, donor management, acknowledgement, and reports.
  • Record all donations, pledges, and pledge payments in the donor database.
  • Oversee and ensure a seamless integration and transfer of transactions from payment platforms such as Blackbaud Merchant Services, WILD, GiveCampus, and Graduway. In collaboration with Finance and the Director of Technology, devise protocols and systems for data integration with outside vendors.
  • Establish a manageable hierarchy of designations to be used when recording gifts.
  • Serve as a point of contact for donation inquiries, tracking, and acknowledgements.

Database Management

  • Establish a streamlined database architecture and outline a clean-up plan that will ensure data integrity for donor database constituents.
  • Create a standardization guide to ensure consistent and clean data entry for all database users.
  • Manage all aspects of data entry, including the methods of gift entry, import processes, and reporting to advancement and finance staff to ensure quality control and data integrity.
  • Maximize the functionality of the database and implement best practices to effectively manage constituent data.
  • Serve as a point of contact for all Advancement Department members for database uses, functionality, questions, and needs.

Reporting

  • Develop and analyze strategic fundraising reports, queries, and dashboards.
  • Work closely with the finance team to ensure donation and accounting accuracy, and to reconcile fundraising and accounting data.
  • Run data for and manage submission of annual benchmarking surveys (INDEX, NAIS, and VSE).
  • Provide regular budget and fundraising updates, including year to date, month to date, event totals, and campaign and appeal totals, for the Advancement team, Advancement Committee and Finance Committee.

Donor Data Analysis

  • Analyze donor data to identify trends and develop strategies to increase donations.
  • Leverage internal data to support portfolio management and stewardship efforts to help support and drive fundraising efforts.

Donor Communications and Event Support

  • Create and execute queries and mailing lists for fundraising appeals, newsletters, and other donor communications.
  • Work closely with members of the Advancement Department to manage event lists and RSVPs.

Engage with the Winsor community beyond Advancement initiatives in order to represent the school authentically. Be an active member of the broader Winsor community.

EXPERIENCE, KNOWLEDGE, AND SKILLS

  • A belief in all-girls independent school education, keen understanding of Winsor’s mission and goals, and the ability to articulate its uniqueness and relevance.
  • Bachelor's degree preferred, or equivalent combination of education and experience.
  • A minimum of 3 years of related experience in information technology, database administration, or other relevant experience.
  • Advanced computer skills and experience managing CRM and database systems (Raiser’s Edge/NXT preferred); Microsoft Office Suite skills and experience required.
  • Knowledge of the principles and practices of nonprofit fundraising operations, gift entry and administration, database and constituent records management, and IRS regulations regarding charitable giving.
  • A solution-oriented mindset, a demonstrated sensitivity in handling confidential information, strong skills in diplomacy, communication, collaboration, and a sense of humor.
  • Some after-hours and/or weekend work required for events support.

COMPENSATION AND BENEFITS
This full-time, benefits-eligible position offers a salary commensurate with experience and the opportunity to work in a school environment and make an impact.

Job Type: Full-time

Pay: $65,000.00 - $85,000.00 per year
