Position Summary
Support the Investor Relations Department as well as Financial Advisors and Investors with trade processing, closing coordination, and account maintenance. Professionally and effectively answer questions relative to operational procedures. Partner with fund administrator to facilitate timely and effective communications, process transfers and account updates, and reconcile records with custodians, as applicable. Support Sales by managing CRM books and records, logging service items, and hosting calls with advisors and their clients to review subscription and closing processes.
Duties and Responsibilities
- Professionally provide verbal and written follow-up to investors and financial advisors, answer questions related to operational policies, and investment and closing processes; route inquiries to appropriate department(s) when necessary.
 - Support Sales, manage integrity of Salesforce data, reconcile trade records daily, log service items, and host calls with advisors and their clients to review subscription processes.
 - Facilitate effective and timely investment processing, ensure subscriptions are in good order, investigate and communicate outstanding items back to financial advisor, verify FINRA/SEC records for compliance purposes, and coordinate closing schedule with internal departments/external partners.
 - Maintain books/records for investor account information, process account update forms, transfer forms, etc., coordinate re-registrations and other account updates with fund administrator, financial advisors, and custodians, as applicable, to reconcile investor records.
 - Coordinate with Marketing and outside fulfillment company to process requests for offering materials, printing/shipping tax packages, and other mass mailings.
 - Coordinate preparation and dissemination of investor welcome letters, subscription agreements, statements, closing communications, distribution confirmations, and other periodic reporting.
 - Provide clerical aid including document preparation, investor email notifications, filing, and other document organization.
 
Requirements:
- Relevant Work Experience: 1-3 years of experience in a corporate office preferred, specifically, customer service, operations, or financial services/trade processing. General knowledge of regulatory, compliance and legal requirements for investor onboarding, updates, and transfers, a plus.
 - Education: BA/BS degree preferred, but not required. High school diploma required and/or equivalent combination of education and experience.
 - Computer Skills: To perform this job successfully, an individual should have demonstrated competency with Microsoft Office, most importantly Outlook, Word, Adobe, and Excel. CRM experience essential, Salesforce preferred.
 - Good written and verbal communication skills
 - Strong customer service and interpersonal skills
 - Highly organized with strong planning skills and ability to manage competing demands
 - Strong detail orientation, demonstrating accuracy and thoroughness in work results

Griffin Capital’s salary ranges are determined by role, duration of direct experience, and internal and external pay equity considerations.
- The base salary range for this non-exempt, full-time position is $31-$38/hour ($65,000-$80,000) + bonus eligibility + benefits.
