Job description
Provide a high level of administrative support to the Chief Digital Officer and the wider department, to ensure efficient management and running of the function on a day to day level.
Key Responsibilities:
- Extensive and complex calendar management
 - Schedule internal and external meetings/offsites
 - Manage the CDO’s inbox. Monitor emails and answer on his behalf, flag urgent requests and follow up, ensure a timely and accurate response
 - Coordinate and execute all travel arrangements for CDO including flight and hotel booking, visa applications, transfers, restaurant bookings
 - Take care of all expenses in a timely manner within the given deadline
 - Handle the department cost-center on a global level, including regular monitoring for budgets, approval of invoices to ensure correct accounting transactions
 - Take over administrative and coordinative tasks of department members as requested
 - Handle assigned operational tasks of respective department under supervision
 - Work with other executive assistants within the company
 
General Tasks:
- Approval of team expenses and holidays in workflow.
 - Onboarding new hires (e.g. IT and communication support when applying for a new laptop, I-pad or mobile phone) and invoice re-booking
 - Supporting office setups and moves within HQ
 - Maintain vacation overview for team
 - Proof reading of documents/presentations
 - Understands and provides information about standards and internal processes
 
Knowledge, Skills and Abilities:
- Extensive experience as a Management or Personal Assistant – Ideally in an International company
 - You’re a communications expert. Written or spoken, you make your point well and assert authority when it’s needed. Dutch & English preferred
 
- Organised. Do you thrive in structured environments while taking initiative and being flexible too
 
- Trustworthy? You understand the importance of discretion and confidentiality
 
- Resilient? You’re strong willed and work well in a fast-paced work environment
 
- Detail orientated?. You take great pride in your attention to detail
 - Strong Microsoft Office skills in Excel, Word and PowerPoint
