Job Description:
Position Summary:
Provide high-level administrative support, under general direction, to the VP of Quality Improvement and Innovation, and coordinating the quality improvement team including risk management, infection control, compliance quality initiatives and performance improvement. Duties include performing clerical functions such as managing calendars, preparing correspondence, handling information requests, and arranging meetings. Prepare agendas for meetings and take minutes
Minimum Qualifications:
Two years in an office environment providing similar support to an executive is required. Strong math skills. Highly proficient in Microsoft Excel and Word. Ability to communicate clearly and effectively, both orally and written at all levels within the organization - effectively communicating management’s message. Strong customer service troubleshooting skills. Demonstrated ability to work in a fast paced environment and maintain a high level of confidentiality. Strong attention to detail and ability to multi-task.
Preferred Qualification:
Experience in quality management or accreditation. Experience in senior management level administrative support. Ability to utilize technology to streamline processes and make recommendations for process improvements. Understanding of timesheet allocation.

Special Skills, Knowledge and Abilities:
Knowledge of the community and resources available therein. Demonstrates effective verbal and written communication that is clear, well-organized, and demonstrates an understanding of audience needs. Highly proficient in Microsoft Excel and Word. Strong attention to detail and ability to multi-task.
Essential Functions:
  • Schedules and plans Quality Improvement meetings and activities.
  • Organizes agendas and reports, and records minutes for meetings facilitated by the Quality Improvement Team. Collaborates with other senior management executive assistants to coordinate events relative to companywide quality initiatives.
  • Tracks various program action plans submissions to all external agencies.
  • Tracks licensing requirements and renewals for all locations.
  • Compiles data as requested or needed for licensing, accreditations, contracts and/or meetings. Implements administrative systems to improve workflow efficiency and monitors projects as needed.
  • Contributes in managing policy updates and renewals.
  • Coordinates, and updates management on clinical quality metrics and results.
  • Demonstrates problem solving, leadership, conflict management and team building skills to ensure a productive work environment and achievement of goals.
  • Performs under minimal supervision with accountability for specific goals/objectives.
  • Coordinates data deliverables.
  • Completes all other duties as assigned.
Work Environment/Physical Demands:
Usually, normal office working conditions. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment varies from quiet to loud. Sedentary to light work. Exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
Position Type, Expected Hours of Work and Travel:
This is a full-time position, and the expected work hours are 40 hours per week, Monday – Friday, some early morning & evening may be required.
