TITLE: Business and Office Manager

SUPERVISOR: Director of Finance and Support Services

REQUIRED QUALIFICATIONS: High school diploma or equivalent plus education and/or experience equivalent to a Bachelor’s degree in Accounting or Business. Must be at least 21 years of age.

JOB SUMMARY: Assist the Director of Finance and Support Services in the daily operations of St. Joseph’s

Children’s Home and Catholic Charities of Wyoming. Provide administrative support for grants, fundraising and development activities, and executive support.

Resident and staff privacy and confidentiality is protected at all times. Minimum necessary access to resident

and staff records and information is assigned based on the job duties and responsibilities outlined below.

BUSINESS MANAGER FUNCTIONS:

1. Assist in overseeing the daily operations of the accounting department including managing accounts payable, cash receipts, general ledger postings and check runs.

2. Maintain proper internal accounting controls.

3. Establish and maintain fiscal files and records to document transactions.

4. Responsible for scheduling, ensuring, and supervising coverage of reception desk during business hours.

GRANT ADMINISTRATION FUNCTIONS:

1. Maintain grant budgets and designation of expenditures on an on-going basis.

2. Maintain and implement funding calendar activities including grant reporting requirements.

FUNDRAISING/DEVELOPMENT SUPPORT FUNCTIONS:

1. Reconcile monthly donations from the donor database to the general leger.

2. Create monthly fundraising and donor reports as requested.

3. Maintain guest list for special events.

OTHER GENERAL RESPONSIBILITIES:
1. Serve as receptionist, welcoming new residents, visitors, answering phones and referring inquiries.

2. Assist with processing mail.

3. Ensures the mission of St. Joseph’s, including the spiritual formation of residents, is an integral part of the healing process.

4. Assist in executive support functions including board meeting minute preparation and correspondence, and monthly department head meeting minute preparation.

5. Will perform other duties as may be assigned.

Pay: $51,500.00 - $58,000.00 per year
