Job Description
This position serves as program and admin assistant for the Assistant Director of Programming and also assists all department staff including Recreation, Aquatics, Marketing and Senior Services. Helps the general public by answering general parks and recreation related questions and coordinates with division managers as it relates to programming and events, assists in program and event reporting and data management, maintains computer and paper filing systems, assist in direct mail and e-mail distribution. Assist the programming staff with any necessary programing or clerical duties and data entry. Assist the marketing coordinator with the creation of printed and social media materials. Attend programs and events to take pictures as needed. This position will be required to work shifts including evenings, weekends, holidays, overtime as necessary by the Department and during inclement weather.
ESSENTIAL RESPONSIBILITIES

Essential duties and responsibilities may include, but are not limited to, the following :
  • Serves as coordinator for parks department using proper telephone etiquette and extensive personal public contact as well as answering multi-phone lines.
  • Will on some occasions be responsible to cover office and may be the only individual present.
  • Must have the ability to take accurate messages and communicate information to necessary staff.
  • Coordinators with division managers and assists programming staff as it relates to park programs and events.
  • Maintain necessary records, collect, and analyze data, and prepare reports to evaluate services, programs, activities, and effectiveness of programs and events.
  • Assists public with various inquiries through familiarity with and working knowledge of services offered by all departments within the division including golf courses, tennis, recreation and swimming programs, athletic and field office operations, etc.
  • Assists Park Staff with special projects/events as needed.
  • Assists with supervising staff and recommends disciplinary actions as appropriate.
  • Assist Marketing Coordinator with creation of printed and social media materials.
  • Take photos at special events & programs as needed.
  • Order promotional materials &/or promotional clothing.
  • Monitor program budget including staffing, equipment, and supplies cost. Also monitor funds spent and revenue earned for the program. Submit recommendations and budget requests for the next fiscal year.
  • Maintain accurate, up to date information on all instructor certifications (i.e National Certs, CPR/ AED, First Aid, etc).
  • Performs general administrative tasks including promptly returning phone calls, responding to email and other correspondence, sorting and filing records, completing memos and forms. Interacts with customers to provide exceptional service, receive complaints, suggestions and questions, provides information and assistance as requested.
  • Helps maintain a regular inventory of all the rec supplies and equipment at the recreation warehouse and the Warford Activity Center and communicates with direct supervisor and the center supervisor.
  • Prepares various monthly reports.
  • Helps monitor all program record keeping functions; collects statistical information and develops corresponding reports.
  • Be willing to drive and help load/unload the truck, van or trailer with supplies and equipment as needed.
  • Helps keep track of attendance of all classes monthly and sends report to supervisor.
  • May be asked to perform additional job duties that are directly, indirectly, or completely unrelated to normal job functions in the course of special events or programming.
  • Helps maintain staffing time sheets.
  • Helps maintain recreation inventory/rental supplies.
  • Performs related duties as required or assigned.

Knowledge, Skills, Abilities
Knowledge of:
  • Knowledge of Activity Registration and Membership Systems.
  • Working knowledge of Microsoft Applications (PowerPoint, Publisher, Excel, Word).
  • Knowledge of Supervisory principles and practices.
  • Basic marketing principles.
  • Knowledge of Applicable local, State, and Federal laws, codes, regulations, and ordinances.
Skill in:
  • Interacting with the public tactfully and professionally.
  • Managing and resolving conflicts.
  • Developing program budgets
  • Employee must be trustworthy and dependable, as this position will be responsible for office operation and program management on a daily basis for the Parks Department.
  • Employee must be able to complete multiple tasks while coping with numerous interruptions.

Licenses/Certification

Required Qualifications
Two (2) years of developing and implementing recreational, wellness or community-based programming. Prior experience teaching an array of group classes would be beneficial. Ability to establish and maintain harmonious relations with fellow employees, City officials, and outside contracts. Safe driving record.
A valid Texas Driver’s License in required. Must be 18+. Must be CPR, First Aid and AED certified within thirty (30) days of hire date. Marketing experience is required.
  • High school diploma or its equivalent and a minimum of three (1) year of coordinating/administrative experience are required. Good typing skills are required, 40 wpm is preferred. Bi-lingual is preferred but not required. Valid Texas Driver’s License is required, or ability to obtain within 30 days of employment.
